Fees
- 911±¬ÁÏ Qualifications (the Awarding Organisation) will publish a schedule of all fees charged. This will be made available to the public on the 911±¬ÁÏ website www.rhs.org.uk and on the 911±¬ÁÏ Qualifications Portal
Issuing of Invoices
Learner (course) Registrations – Level 2 and Level 3 Theory Qualifications, and Level 2 and Level 3 Practical Qualifications.
- Centres have 30 days from the start of their course to create a registration cohort for that course and register learners onto that cohort. Invoices for Learner Registration fees will be raised once the 30 days has passed. Registration fees are invoiced at the published fee
- Registrations made after the 30-day deadline will incur a late fee
Additional Fees – Level 2 and Level 3 Theory and Practical Qualifications
- Additional fees are charged for late registrations onto assessments, i.e. any learner registered for an assessment after the published registration deadline. Additional fees are charged for any learner resitting an assessment. In addition, for the theory qualifications, an additional fee is charged for any learner sitting a paper exam (rather than online). Invoices for additional fees will be raised after the assessment has taken place. Additional fees are invoiced at the published fee
Exceptional Supervision
- This is for learners who are unable to take the online exam because they are in Prison but registered with a remote learning provider and eligible to sit their exams either for the 1st time or resits and the centres have been invoiced for them. If learners are no longer managed by their centre or need to pay for an exam, then the Prisoner Educational Trust are invoiced for the fees
- And for learners who have gone beyond their 2 years and no longer managed by a centre, and they are there registered as 911±¬ÁÏ Examination Centre and are invoiced accordingly if they need to pay for an additional resit
Learner Registrations – Level 1 Practical Qualifications
- 911±¬ÁÏ Qualifications will create the relevant Cohort(s) for Level 1 qualifications, and Approved Centres must register learners and the associated units within four weeks of the start of the course. Learners must be registered before assessments take place
- Invoices will be raised on the 1st of each month, to capture all learner registrations made 2 months’ prior. For example, an invoicing report run on 1st November would capture learners registered in the month of September, who are still registered on the course. This allows the Centre a full calendar month in between, where they can register additional learners or withdraw learners without charge. Centres will not be invoiced for learners who are withdrawn between the date of their registration and the date of the invoice report (invoicing will take place on the next available weekday, if the 1st of the month falls on a weekend or Bank Holiday)
Re-mark and Examiner Feedback
- Invoices will be raised when the re-mark and feedback is received back from the re-marker. No fee is payable in instances where the re-mark results in the upgrade of a result
Approved Centre Fees
- Centres who apply to become 911±¬ÁÏ Approved Centres are visited by a Centre Verifier. Invoices for Centre Approval will be raised following the Centre visit and receipt of the Centre Assessment Form. Once approved, Centres will be invoiced for an annual fee on the anniversary of their approval
Replacement Certificates
- Replacement Certificates are requested by Approved centres or learners when the original certificate has been lost, damaged or destroyed. Requests are received by the Centre or learner completing a Replacement Certificate Application form. If a Centre requests the replacement, an invoice will be raised at the time that the replacement certificate is sent. If a learner requests the replacement, the learner will be asked to pay via a secure online payment platform (Worldpay) and the replacement certificate will be issued once payment is received
- All invoices will contain sufficient detail for each item included to enable the recipient to understand what has been invoiced
Refund of Fees
- Fees for learner (course) registrations and fees for assessment registrations will not be refunded if the learner fails to attend the examination or withdraws after the entry closing date
- Centres can request to defer a learner if there are exceptional circumstances, such as illness at the time of the assessment or personal circumstances preventing a learner from studying. If the deferral is approved, it will only be possible for learners to defer to the next assessment session or, in the case of course deferrals, to the next academic year
Payment Terms
- Payment of invoices is due within one month of the date of invoice
- Monthly statements will be sent to all customers with unpaid balances on their accounts
- Qualification or credit certificates will not be issued where payment is outstanding for any of the unit registration fees
- In the case of exceptional supervision, examination materials will not be shipped to the agreed examination venue until payment has been received
Retention of Documentation
- The records of all invoices and credit notes issued will be retained for a minimum of six years following the year of audit
911±¬ÁÏ Qualifications will review this policy and associated procedures bi-annually as part of our self-assessment arrangements, or earlier if significant changes occur in regulatory requirements, operational practices, or identified risks
It will be revised as necessary in response to feedback from our learners, centres, associates, and regulators.
